Campus contract and campus check

What does the campus check mean?

Are you currently renting accommodation with a campus contract? This means that you can only live here if you are a student. Due to a shortage of rooms, it is essential that residents who no longer attend school move on to other accommodation. That is why we ask tenants who have a campus contract to show a proof of study every year. Your studie must be listed in DUO's CROHO register.

When does the check period start?

Each your around 1 December, you will receive a message from us about the campus check. We will ask you to provide your proof of enrolment via My SSH, no later than 31 May. Are you no longer a student? Then we will terminate your rental agreement as of 30 November - that's one year after the start of the campus check.

How can I provide my proof of enrolment?

You can provide your proof of enrolment by logging in to SURF via My SSH. This is the safest and most efficient method for us to verify whether tenants are currently studying. If you notice that your educational institution is not linked to SURF, you can press the button 'Help! My educational institution is not on the list.' and alternatively upload one of the following documents:

  • Your student card or proof of enrolment indicating that you are a student in the current academic year.
  • A DUO statement confirming that you are a student and either receiving funding or a loan for the current year.
  • Your PhD/AIO/OIO contract. Have you already started your PhD/AIO/OIO program in an earlier academic year and is your position (often listed as PR or IO) on your most recent pay slip? Then upload this pay slip. If your position is not stated on your pay slip, upload your contract via My SSH and send your most recent pay slip to info@sshxl.nl.

Please do not email these documents to us. Instead, always upload the required documents via My SSH to ensure proper processing.

I'll start studying later this academic year, and I already have a proof of enrolment. Can I use it for the campus check?

Do you already have definitive proof of enrolment for a study that will start later this academic year? Then you can submit this proof of enrolment for the campus check. Does your new study start next academic year? Then you can indicate that you currently got a gap year. This also applies to a PhD/AIO/OIO contract that does not start within the current academic year.

I study part-time or MBO. Can I prove that I am studying for the campus check?

Yes, that's possible. During the campus check, we only check whether you are still registered as a student, irrespective of your educational level (MBO, HBO, WO) or the nature of your study (full-time, part-time or pre-master). Please note: if you sign a new rental agreement with a campus clause, this works differently; in the case of a pre-master or an MBO or part-time study it becomes necessary to demonstrate that your income does not exceed the specified limit.

I'm no longer a student. What to do? 

Indicate this via My SSH; we will cancel your rental agreement as of 30 November. You can always cancel your rental agreement yourself on a sooner occasion; you will then have a month's notice. Do you expect to move before 30 November, but don't you know when exactly? It's just as important to agree to the cancellation of your rental agreement via My SSH now. That saves a lot of emails and possibly a legal procedure! By the way, you can try to respond to accommodation with a youth contract. With that type of contract, you don't need to be a student, although you must meet other requirements

Help! I accidentally checked that I agree to a rental termination.

In that case, please contact us as soon as possible. We can undo your choice, so that you can then submit the correct choice via My SSH.

During your rental period with the SSH, 
you can only register a gap year once.


I've got a gap year. What to do?

The campus check always starts around 1 December; we will ask you to provide your proof of enrolment. Do you have a gap year? Please indicate via My SSH. We ask you to agree with a cancellation of your rental agreement as of 30 November in case you don’t continue your studies. 

In August, you’ll hear from us again. There’re two possible situations: 

  • Have you been (re-)enrolled for the upcoming academic year? Please provide the requested proof no later than 31 October. If the check is successful, you can continue your rental agreement with the SSH. Please keep in mind that for the next campus check, we will ask you to provide your proof of enrolment again. It’s not possible to have another gap year, as it's a one-time exemption.
  • Are you no longer a (PhD) student? The end date of your rental agreement will remain 30 November. 

Suppose you're in the following situation: in February, you provide your proof of enrolment. In June, you decide to take a gap year the following academic year. In such a case, you don't have to inform us about this until we start a new campus check around 1 December and you are therefore actually in your gap year.

Can I move to another SSH accommodation during a gap year?

Unfortunately, you cannot move to another SSH accommodation for which the campus contract also applies. If you sign a new SSH rental agreement with a campus clause, we are legally obliged to check whether you are studying. You cannot prove this during a gap year. However, if you want to move internally to another room within your current dormitory, you can. You can also try to respond to accommodation with a youth contract. With that type of contract, you don't need to be a student, although you must meet other requirements

Can I sublet my accommodation during a gap year?

It's allowed to sublet your accommodation, but keep in mind the following: if you have requested a gap year for the campus check, we will formally terminate your rental agreement on 30 November. If you can provide your (re-)enrolment for the next academic year before 31 October, you are allowed to continue your sublet period after 30 November. If you can’t provice the requested proof, 30 November will be the end date of your sublet period. 

Do you check for falsified documents?

If logins or documents have been falsified, we will report this to the police. In such cases, we will promptly terminate the lease and initiate legal proceedings to vacate the accommodation. Please be aware that you will be responsible for covering the costs associated with this process. It is crucial to understand that submitting forged documents is a serious offense and can lead to a conviction carrying a maximum penalty of six years in prison. Furthermore, a conviction can result in the creation of a criminal record and the denial of a Verklaring Omtrent Gedrag (VOG), which is a certificate of good conduct.

I object. How does that work?

If you do not agree with the termination of your rent, please register your objection by contacting us at info@sshxl.nl. We will initiate legal proceedings to have the court determine the termination time. Based on our experience, we are confident in our position during such trials. However, please note that if the court confirms our decision, you will be responsible for covering the costs associated with this legal procedure. It's important to understand that the termination of your rental agreement will only be valid if you agree to it. Therefore, it is crucial that you respond to this termination notice.

What happens if I don't respond

If we do not receive a response from you, we will proceed to court to finalize the termination. Once again, the costs associated with this legal procedure will be your responsibility. We are terminating your rental agreement based on urgent personal use, as defined by the law. This means that we need the accommodation to provide housing for other students, given the high demand for student rooms and residences in the cities where the SSH operates.
