PhD/Staff and degree students in Groningen | How and where can I pick up my key?

For PhD, staff, and degree students in Groningen, we will contact you to schedule a key pick-up appointment, so the check-in form does not apply to you. This concerns PhD students, staff, and degree students who booked a studio at Upsilon or a room at Cornus. Approximately 3 weeks before the start date, you will receive a welcome email with information on receiving your keys.

PhD and Staff in Utrecht | How and where can I pick up my key?

For PhD/staff in Utrecht, we'll contact you to make an appointment to pick up your key, so the form does not apply to you. This concerns PhD/Staff who booked an apartment in Utrecht at Kriekenpitplein, Campusplein, Nieuwegracht, and Bisschoppen.

Have you booked accommodation at Kriekenpitplein or Campusplein? The rental agreements for these apartments start on weekdays (Monday - Friday) from 14:00 PM. If the first day of the month is a Saturday, Sunday, or a Monday, your rental period starts on Tuesday at 14.00h. Your rent will be calculated accordingly.

Erasmus International House (Rotterdam) and Proxima (Groningen) | I'll have a phone key, how does that work? 

Your accommodation is equipped with a phone key instead of a physical key. To open your digital lock, it's necessary to have a smartphone with NFC. Make sure to request your phone key via My SSH (tab 'My phone key') before your arrival. Besides that, it's mandatory to fill out the arrival form. Please note that most of our buildings are not equipped with a phone key; that's why you'll read about a key pick-up on this page. Some information below nevertheless applies to you as well. 

Exchange/Bachelor/Master | Spring 2025 | How and where can I pick up my key?

To pick up your key, you should make an appointment via the key pick-up form. This is possible from the moment you have a finalized booking. We have set up fixed key pick-up days and times, so try to arrange your travel plans in such a way that you can arrive during these moments. Is this not possible? Then please make sure to book alternate accommodation for those night(s) and register for the first possible key pick-up moment to get your keys, or delegate someone who can get your keys for you during available timeslots.

Please note: 

  • Please use the exact information (first name, surname, e-mail address) you used during the booking process. 
  • After filling out the form, you must receive a confirmation right away. Haven't you received an e-mail? It could be that you made a mistake in the e-mail address, so please fill out the form again and check the spelling.
  • Make sure to select the right start of your rental agreement, as you cannot enter your accommodation before this start date. For example: if your rental agreement starts on February 1, you can check in from February 1 from 14.00PM.
  • You can change the form as many times as you want. 
  • After you have filled out the form, you can check this page where you can get your keys per arrival day. If your location it not been announced yet, keep an eye on this page.
  • If your start date is later than the last possible timeslot on the form, please contact us at info@sshxl.nl. We will inform you when and where to get your keys. Please note, that we can only schedule an individual appointment during office hours and on working days.
  • If you cannot arrive within the available timeslots, you can delegate someone to get your keys on your behalf. In that case, fill out the check-in form and select the option 'Someone else will get the keys on my behalf'. 
Unfortunately, it is not possible to arrive before 
the start date of your rental agreement.


What to bring to the key pick-up?

Please bring your ID and your SSH rental agreement to the arrival appointment. Your SSH address is on the first page of your rental agreement as well as at My SSH, tab 'My accommodation'. You can find your rental agreement (in Dutch: huurcontract) on My SSH, tab 'My documents'. To download your rental agreement on your mobile, tilt your phone horizontally to reveal the download button.

Is it possible to store my luggage? 

Unfortunately, we don't have any room to store you luggage before the start date of your rental agreement. You could try to rent a locker at the central train station. They only cost a few euros and are quite big.

Can I move in earlier?

Unfortunately, it is not possible to arrive before the start date of your rental agreement. All our rooms are let until the last day prior to your arrival, or they are still subject to maintenance or cleaning activities. Usually, it's possible to arrive after your rental agreement has been started, but please let us know in advance.

Can I arrive outside the mentioned check-in slots?

As the arrival mail explained, there are set dates and times to collect your keys. If you cannot arrive during those timeslots, you will need to book alternate accommodation for those nights and register for the first available timeslot to pick up your keys then. Should you have a friend in the city already, they are also able to pick up the keys for you so they can give them to you when you arrive. In that case, fill out the form and select the option 'Someone else will get the keys on my behalf'. 

Can I move in later?

You are welcome to arrive at a later date than the start of your rental agreement. However, please be aware that you will still be charged from the first day of your rental agreement. If you plan to arrive later, there are certain conditions to consider:

1. There are specific dates and times designated for key collection. If you are unable to arrive during those timeslots, you will need to book alternative accommodation for those nights and register for the earliest available timeslot to pick up your keys.

2. If you have a friend who is already in the city, they can collect the keys on your behalf and give them to you upon your arrival. In such cases, please provide the necessary information by filling out the key pick-up form that someone else will get the keys on your behalf.

My arrival date is later than mentioned on the form.

No problem! If your arrival date is not listed on the form, you can email us at info@sshxl.nl or contact us via WhatsApp to arrange a specific appointment. Please keep in mind that key collection is only available on working days. Therefore, key-pick up is not possible in the evenings or on weekends.
